Is it safe to hire a CA online?

The hesitation is reasonable and worth taking seriously. You are handing over your PAN, your bank statements, your turnover and access to government portals, to somebody whose office you have never walked into.

It is also worth noticing that the local arrangement most people compare it against is not as safe as it feels. A nearby office is a fact about geography. It is not a credential check, it is not a scope agreement, and it has never once stopped a filing from being missed.

This page separates the risks that are real from the ones that are just unfamiliarity, and gives you the check for each.

The work is already remote

Almost everything a compliance accountant does for you now happens on a portal. GST returns, income tax filings, TDS returns, ROC submissions and most registrations are online processes, worked from documents that were emailed rather than carried.

Which means that if you use a local accountant, your work is very probably already being done at a screen you cannot see, by a person you may not have met, from files you sent as attachments. Distance is not the variable it appears to be. What varies is whether the arrangement is written down.

There is real work that benefits from someone physically present: a stock count, a factory visit, a case that needs an appearance. Those are worth hiring locally for. Monthly GST is not one of them.

The risks that are real

The person is not who they say they are
The genuine one. Online it is trivially easy to claim a qualification. The check is also easy, and most people skip it: get the ICAI membership number, look it up in the ICAI directory, and verify the UDIN on anything signed. Full method in How to check whether a CA is genuine.
Your documents go somewhere you cannot control
Bank statements and identity documents sent over consumer chat apps end up on personal phones, in cloud backups, and occasionally on a device that gets sold. This risk is about the channel, not the distance. Use one channel, keep the record in one place, and never send credentials through it.
Nobody is accountable for a deadline
Real, and equally real locally. The fix is the same in both cases: a written list of deadlines with a named owner and a document cut off date for each.
They stop replying
Harder to escalate with someone you have never met, and this is where a platform earns its place. Working through one changes the situation from your word against theirs into a recorded engagement with a counterparty who has a reputation to keep.

The worries that turn out to be smaller

"They will not understand my state's rules"
GST and income tax are national. State variation exists in professional tax, stamp duty, labour registrations and a few local levies, and any competent practitioner will tell you plainly whether your matter involves one. Ask the question rather than assuming distance decides it.
"I will not be able to reach anyone"
Usually the reverse. A local relationship built on one mobile number is the fragile one. Written channels produce a record of what was asked and when, which is what you actually want when something is disputed.
"I cannot judge them without meeting them"
Meetings are a poor filter. Confidence in a room is not competence, and a great many of the complaints in What usually goes wrong are about people the business had met many times. Completed work, a verifiable credential and ratings from real clients are harder to fake than a good first impression.

The checklist before you commit

  • Membership number obtained and checked in the ICAI directory yourself.
  • Certificate of Practice confirmed, if anything will be signed or certified.
  • Firm registration number obtained, if you are engaging a firm.
  • Scope, exclusions, price and dates in writing before any work starts.
  • Named person to contact, and an agreed response time.
  • Portal access given properly, as an authorised representative or additional user. Passwords stay yours.
  • Banking credentials never shared, in any circumstance, with anyone.
  • Written agreement that your books and filings are returned on request, in a usable format.
  • Every filing confirmed to you with its acknowledgement.

Nine lines. A local hire that skips them is riskier than an online hire that does them.

What a platform changes

The specific gap in hiring a stranger is that you have no history with them and no way to hold them to anything. That is the gap Accmeet is built to close.
